Why can't I just use ChatGPT the way I already do?

You can, and you already are. The problem is it starts every conversation knowing nothing about you, so you paste the background in again and it still guesses at your prices. The brain is the part that makes it stop guessing.

What am I paying for every month?

The weekly gap round, mostly. A brain built once and left alone is wrong within a few months, because your business keeps moving. The monthly is what keeps it matching the business you actually have, plus hosting, updates and support.

Nothing in my business is written down. Is that a dealbreaker?

It is the normal starting point, and it is why extraction is week one rather than something we assume you did already. We sit down, we ask, you answer, and the transcript becomes the documentation. Then the weekly round keeps filling the gaps.

Could it send a quote with the wrong price on it?

Not without someone seeing it first. Quoting drafts from your live price sheet and a person approves before anything leaves the building. Anyone offering you unsupervised quoting is selling you a problem you will find out about at invoice time.

Can I do this myself with Zapier or Make?

For something simple, yes, and we will say so rather than take the work. They get brittle once there is real complexity, they have usage limits, and somebody has to keep them alive. This is built around how your business runs, not assembled from a template.

How is this different to hiring a VA?

A VA is a person doing the work. This is the work not needing doing. It runs at 2am, it does not need training twice, and it costs about a tenth of the EA our clients were about to hire. Your people are still the point, this just stops them being the filing system.

Do I need to be technical?
